...  Official Supplier Rules and Regulations
Huddle participants must be either: Suppliers of Florida tourism products and services, or Buyers who purchase Florida tourism products for packages and programs, i.e. international and domestic tour operators and wholesalers. All participation is subject to approval by Florida Huddle.
Participation by Suppliers requires purchase of booth space and appropriate delegate fees.
Each booth automatically includes one appointment schedule, one delegate and early appointment schedule viewing via www.FloridaHuddle.com.
The registration and payment (via check, online payment, credit card authorization) must be received in our office to be considered registered for the HUDDLE. All suppliers with unpaid registration fees are subject to cancellation without notice after the payment deadline.
April 2, 2010: Deadline for early Supplier registration/payment discount.
October 29, 2010: Deadline for all Supplier registration fees; $650 late penalty fee enforced.
Participants must be bona fide employees of the organization contracting the booth. Use of space is restricted to the organization whose name appears on the application. If sharing partner does not register in the required time frame, all fees for a single booth must be paid by the exhibiting company. The exhibitor may not sublet or share their booth with another organization unless a "shared booth" is purchased.
There is a limit of three delegates per single booth. There is a limit of two delegates per company in a shared booth.
Due to the business atmosphere of HUDDLE, no spouse or social registration is available.
Booth location is assigned on a regional basis as time and space allows. Requests for special booth placement must be made in writing prior to Friday, October 29, 2010. The special placement request are not guaranteed however, they will be honored whenever possible.
There are a limited number of shared booths, available on a first come, first served basis. Both companies sharing a booth must complete a registration form, each indicating the other as a share partner. Both booth fees must be paid in full. Each company will receive a control number, one set of appointments, registration of one delegate, its own page in the Supplier Directory, a booth sign, and early appointment schedule viewing via www.FloridaHuddle.com.
Deadlines and Cancellations: All Cancellations must be made in writing. Refunds will issued for cancellations as follows:
  1. Cancellation notification received date prior to October 1, 2010: A Full refund minus $100 processing fee.
  2. Cancellation notification received date between October 2, 2010 and December 1, 2010: A 25% refund 
  3. All booth fees must be paid by December 1, 2010

NO REFUND OF ANY KIND WILL BE ISSUED AFTER DECEMBER 1, 2010, INCLUDING BUT NOT LIMITED TO DELEGATE FEES. Any company that has registered for a booth but not paid the registration fee by the deadline will be cancelled.

Computer-generated appointment schedules are based on attendee requests, with the priority order of 1)mutual requests, 2)Buyer requests, and 3)Supplier requests. The match process is entirely dependent on appointment requests and registration/payment dates; Florida Huddle has no control over
At registration, each company's registration kit, including all the delegate badges and schedules, will be issued to the first delegate to register. All fees must be paid in full before a registration kit will be issued.
Badges must be worn at all official HUDDLE functions. Lost badges will be re-issued with proper identification and a $200 replacement fee.
Badges may not be shared or exchanged. Violator's badges will be confiscated.
The last accepted date for preprinted badge information is January 21, 2010. After this date, all name changes, including "to be announced" and delegated additions will incur a $20 fee.
Information provided to Huddle International in writing from registered participants as of December 1, 2010, will be printed in the directory. Additional information received between December 1, 2010 and December 31, 2010 will be printed in the Addendum.
Private functions may not be scheduled during official HUDDLE hours. Violators may be prohibited from future participation.
Exhibitors may not dismantle their booths prior to close of show, January 25, 2011.
Participants may distribute materials from their booths only. Materials found elsewhere will be removed.
The solicitation of advertising on the exhibit floor is strictly prohibited.
The participant agrees to indemnify and hold harmless Huddle International against all claims of damages, losses or changes of anything resulting from his occupancy of the space contracted.
Huddle International cannot be held liable for any financial responsibilities incurred on the part of the individual delegate.
All points not covered above are subject to the approval of Huddle International. It is understood and agreed that failure to comply with all the rules and regulations may prohibit present and future participation.
Delegates are responsible for all pre-show accommodations
As a participant at an offical Florida Huddle event, delegates acknowledge that the possibility may arise wherein the participant may appear in photographs taken by a designated staff or professional photographer. Every attempt will be made to secure permission from specific photo subjects; however, by submitting your online registration application, participants agree to allow Florida Huddle to use their image in future pre- and/or post-Florida Huddle coverage in Florida Huddle publications or on the Florida Huddle website.
